1 Ensure all office space, facilities and services are maintained to a sufficient standard to allow JDRF staff to work effectively
2 Monitor and manage all outsourced facilities’ contractors, ensuring an appropriate level of service at all times
3 Liaise with Landlords on tenancy issues under the guidance of the Director of Finance
4 Plan, review, manage and maintain all internal office configurations, taking into account Health and Safety and statutory requirements
5 Work under the supervision of the Director of Finance and Resources in planning and implementing office relocations
6 Day to day responsibility for any internal office reconfigurations
7 Ensure that staff are aware of and adhere to policies around storage and deliveries and that these are kept up to date with changing circumstances
8 Act as the first point of contact for contractors in terms of delivery of services or information needed
9 Act as the initial point of contact for all key facilities suppliers including: building contractors, engineers, photocopier, cleaning company and stationers
10 Ensure all maintenance contracts and service agreements are up to date and filed clearly
11 Oversee any contractors working onsite
12 Day to day responsibility for ensuring that the Angel Gate office is kept clean and tidy, and that all maintenance issues are dealt with promptly
13 Ensure that all communal areas in Angel Gate are fully stocked eg kitchens, toilets etc and order supplies if running low. Responsible for managing post daily.
14 lead on securing and setting up accommodation for regional offices, and liaising with local landlords and key suppliers
15 Ensure that all JDRF offices meet all relevant Health and Safety requirements
16 Liaise regularly with regional offices in supporting the them in the day to day running of an office
17 Be the first point of contact for IT Lab, JDRF’s external IT helpdesk and provider
18 Ensure that the back up tapes are changed on a daily basis and kept in accordance with JDRF guidelines

1 There is no admin support to this role, so the post holder must be willing to carry out the more routine elements to the role, in addition to the higher levels of responsibility
2 Respond to queries and questions, both internal and external to the organisation, concerning the charity and its functions
3 Participate in and support the overall activities and workload of the charity, particularly during the absence of other staff
4 Undertake training as required



Previous experience of:

- office facilities support
- dealing with building facilities contractors and suppliers
- Health and Safety implementation
Experience of working in the voluntary sector (Desirable)

Understanding of Health and Safety legislation

Excellent time management and prioritisation skills, with the ability to work on several projects simultaneously

Ability to work with attention to detail and make few errors

Ability to manage schedules, diaries and deadlines efficiently

Ability to negotiate the best prices and service standards for JDRF

Proven ability to be proactive and self-motivated


Well-developed interpersonal skills with the confidence and ability to work with people at all levels

Pro-active, efficient and well organised

Ability to work well under pressure and deal with any problems calmly and efficiently

Reliable, good timekeeping and attendance

Innovative, able to identify and act upon new opportunities (Desirable)

Good MS Office skills

Educated to A Level or equivalent standard (Desirable)

Understanding of the charitable sector (Desirable)

Relevant Health and Safety Qualifications (Desirable)

Flexibility and willingness to work some unsocial hours.

Willingness to work out of hours occasionally

Knowledge and understanding of type 1 diabetes and type 1 diabetes research (Desirable)
